Blue Project Management

My go-to Project Management tool

Blue is my go-to project management tool.

I use it to manage my business with my virtual assistants.

I also use it as a CRM for:

  • My Done-With-You projects sales pipeline (my freelance business)

  • Landing Page Challenge clients (my VAs run this fully)

  • DCT Hosting (my hosting reseller company)

I even use Blue for my video production workflow.

When I record a video, it goes to my video editor.

The editor edits the video and submits it for my review.

I watch it, give feedback, and approve it.

Then, it goes to my YouTube channel manager.

They upload the video, create the thumbnail, add descriptions, and add chapters.

That entire pipeline is managed inside Blue with automations and SOP (Standard Operating Procedure) checklists.

Here is what the Kanban board looks like for my YouTube video production.

What is Blue?

Blue is a project management tool designed to help individuals and small teams organize their workflows effectively.

It combines features like task management, CRM functionality, and visual boards to simplify complex processes.

Unlike spreadsheet-heavy platforms like Airtable, Blue offers an intuitive kanban-style layout, which is easy to get used to and use.

Who is this tool for?

Blue is ideal for solopreneurs, small businesses, and teams with virtual assistants (VAs).

If you’re managing a team or multiple workflows—like video production, CRM for clients, or task delegation—Blue is an excellent choice.

For those working solo or without a team, simpler tools like Google Sheets or Airtable might suffice for organizational needs.

Once you’re ready to scale with a team (no longer a solopreneuer), Blue becomes a valuable upgrade.

Why is this tool important or needed?

Managing projects and team members effectively is essential for growing a business.

Blue provides a simple yet powerful visual workflow, making it easier to assign, track, and complete tasks.

Unlike large enterprise tools like Monday.com or ClickUp, Blue is self-funded and specifically built for small teams, which gives it a more personal and tailored feel.

For solopreneurs and small businesses, it strikes the perfect balance between functionality and simplicity without overwhelming users.

How I use it

I use Blue to manage every aspect of my business with my virtual assistants.

This includes:

  • Video Production Workflow: From recording to editing, review, feedback, and publishing, every step of my video production pipeline is organized in Blue.

  • Task Delegation and Review: Assigning tasks to my VAs, such as uploading videos, creating thumbnails, and managing YouTube descriptions and chapters.

  • Automations & Checklists: I have VA SOP checklists incorporated into the process so when one task moves to a VA, there is an automated checklist that they can go through and follow.

The kanban-style workflow in Blue allows me to visualize every stage of a process, ensuring nothing falls through the cracks.

Blue Anecdote: How I discovered it and why I switched from AirTable

I used to be an avid Airtable user.

Then, I got a cold email from someone at Blue.

They saw my Airtable review on YouTube and asked if I’d review Blue.

I told them I was a loyal Airtable user but was open to checking it out.

At the time, I was already thinking about hiring VAs.

When I started using Blue, I immediately loved it.

It uses a Kanban board system, which is perfect for visual workflow management.

AirTable was great for personal use.

But for managing VAs, something just didn't click for me.

As a CEO, I prefer working with visual workflows over spreadsheets.

Airtable is more spreadsheet-heavy—great for organization but not for management.

That’s my personal opinion, but others may feel differently.

When I find a tool that I use and love, I am always trying to get in touch with the decision makers.

In this case, the CEO/Founder of Blue, Manny.

After connecting on Zoom the first time, we had a lot in common, became friends and kept in touch since on a regular basis.

He joined me in my first Virtual Summit as a guest speaker and did a wonderful crash course on time management which is included as a bonus in my Hiring & Managing Virtual Assistants Course.

As we are both online business owners and Digital Nomads, I invited him to visit Bulgaria where I was at the time (around August 2023) and we both stayed in a Digital Nomad hotel.

I even got to experience his cooking and played chess multiple times (he is a very strong player!)

In February 2025, we met again in Bali Indonesia and hung out for a day to discuss life and business.

Below is a photo of us in my villa where he stayed for 1 night right before he was leaving to the airport to go back home to Italy.
